HR Workforce Information Assistant

One of the most prestigious and stable international law firms is seeking a

workforce Information assistant. You will support the Director of Workforce Information Systems by managing administrative tasks, maintaining workforce data systems, and ensuring smooth day-to-day operations. This role focuses on accurate data entry, generating workforce reports, and assisting with compliance efforts related to data privacy and security. You will also support the Director in coordinating system upgrades, testing new features, and preparing materials for strategic initiatives. This position ensures operational efficiency and supports the department’s goals.

Responsibilities include:

  • Supporting the team with data entry, electronic filing, auditing, and general maintenance in multiple systems daily, weekly, monthly, and ad hoc.
  • Supporting the evaluation process includes maintaining schedules, inputting data, and running monthly reports.
  • Monitoring and answering routine questions sent to the department email distribution list.
  • Handling general administrative tasks and participating in projects as assigned.
  • Providing support to employees or administrative staff who use the systems.
  • Assisting in testing new features, upgrades, or integrations to ensure smooth implementation.
  • Maintaining accurate documentation of system processes and changes, enabling the Director to focus on higher-level tasks.
  • Helping coordinate meetings, training sessions, or system demonstrations with stakeholders or vendors.
  • Ensuring the accuracy and integrity of workforce data.

Qualifications:

  • Bachelor’s degree or equivalent experience.
  • Experience with HRIS platforms (e.g., Workday, UKG, ADP).
  • Law firm or professional services firm experience is a plus.
  • Minimum of 45 wpm typing.
  • Strong data entry skills with high accuracy and attention to detail.
  • Proficiency in Excel, PowerPoint, Outlook, and Adobe Acrobat.  Experience with Smartsheet and Microsoft Teams is a plus.
  • Ability to demonstrate high trustworthiness in handling confidential and sensitive information.
  • Ability to work independently and know when to ask questions.
  • Ability to collaborate and communicate about ongoing projects.
  • Strong problem-solving skills and an ability to prioritize and manage time effectively.
  • Ability to routinely follow up and meet strict deadlines.
  • Excellent organization and communication skills, both oral and written.
  • Ability to work in a fast-paced environment while showing strong attention to detail.
  • Exceptional client service, both internal and external.

The anticipated base salary for this position is $50,000 to $55,000. The actual base salary offered will depend on various factors, including, without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and, if applicable, the location in which the applicant lives and/or from which they will be performing the job.
