IP Legal Administrative Assistant

A current hybrid model of 3 days in the office and 2 days remote work; 38.5-hour work week; Minimal paid OT

One of the world’s largest and most prestigious international law firms with a diverse, stable, and happy reputation seeks a patent administrative assistant to support the dynamic IP practice group.
Duties:
You need to have a comprehensive knowledge of specific Intellectual Property department guidelines.
You will maintain and update files, including file openings, file applications, responses, etc. with USPTO; you will be responsible for preparing and maintaining IDS; Review issued a patent for errors, determine the expiration date of the patent, prepare a certificate of correction, if necessary; Responsible for preparing, coordinating and circulating reporting letters to clients; Responsible for uploading documents and preparing engagement letters; Effectively set priorities, meet deadlines and manage multiple projects; Ability to pay attention to the minute details of a project or task (i.e., calendaring, meeting coordination, timesheet entries, travel plans, file openings); ability to draft and edit documents accurately and quickly (i.e., cover letters, pleadings, loan documents, meeting agendas, e-mail correspondence); ability to develop rapport with clients; maintain strong working relationships handle confidential and sensitive information.; Responsible for scheduling and coordinating travel arrangements (Attorney travel); Coordinate tracking of CLE for attorneys;
Technical skills:
Proficient in LegalKey, Intapp, Carpe Diem, Document Management system, and Microsoft programs Word, Visio, Excel, and Outlook; Responsible for overseeing invoice payments/expenses/reimbursements using Chrome River
Experience:
- Minimum of 2+ years of legal administrative, legal assistant, or legal secretarial experience with litigation experience is plus
- Some knowledge of Intellectual Property is a plus
