Legal Administrative Workflow Coordinator
Location: Washinton, DC, near the Orange, Blue and Red Lines
This is a new position, coordinating workflow for the team – practice group secretaries
Hours: 9:00 am – 5:15 pm 36.25
Hybrid Model: During the 90-day training: You will be onsite 5 days a week and after training: 3 days in 2 remote

One of DC’s premier law firms near three different metro stops seeks a Legal Administrative Workflow Coordinator with solid experience and skills to coordinate the workflow of 20 legal secretaries. Please have 5+ years of solid legal secretarial and some workflow coordination of other legal secretaries.
As the Legal Administrative Workflow Coordinator, you will play a pivotal role in the firm’s Legal Administrative Services Department. You are responsible for coordinating the workflow of all Legal Assistants, ensuring the team delivers high-quality service most efficiently, and meeting attorney and client needs promptly and effectively.
This position will report to the incredible Administrative Services Manager.
This role requires a strong communicator at all levels who will build trust and a positive working relationship with the secretarial team and attorneys while managing their comfort with change.
This role will work closely with the Legal Assistants, Legal Administrative Services Manager, and Director of Administration to positively implement change, navigate new ways of working, and develop efficiencies as required by the business. The candidate must also monitor and ensure an effective workflow to balance contributions across the team.
Principal Duties and Responsibilities:
- Coordinate the Legal Assistant schedule and ensure appropriate in-office coverage by arranging backup coverage for planned and unexpected secretary absences. Provides recommendations and proposes strategies for staffing challenges and high absence periods.
- Engage with the secretarial team daily to develop a trusting relationship with each team member.
- Continuously monitor, evaluate, and analyze team members’ workload individually and overall workflow to ensure an even workload amongst the team and that deadlines are met.
- Collaborate with the Legal Administrative Services Manager in the department’s hiring process, recruiting, interviewing, and making hiring recommendations.
- Work closely with the Legal Administrative Services Manager and collaborate with the Director of Administration to deliver ad hoc projects, including analyzing existing and developing new ways of working, improving service delivery, and implementing new systems and processes.
- Support team members’ skills development by identifying training opportunities, providing information, and coordinating training from technical trainers and other resources.
- Monitor work quality/productivity and alert the Legal Administrative Services Manager to concerns.
- Work with the Legal Administrative Services Manager to develop new hire onboarding schedules, supervise the integration process, and participate in orientation and mentoring.
- Assist with identifying and implementing appropriate professional development training for the department and individuals to help them provide exceptional service; monitor development to ensure attorney needs are met.
- Provide feedback to the Legal Administrative Services Manager and Directors of Administration regarding the individual performance of Legal Assistants.
- Coordinate and lead team meetings, promoting team engagement with the support of the Legal Administrative Services Manager.
- Act as working coordinator, balancing managing workflow, providing Legal Executive Assistant-level support to attorneys, and assisting the team with overflow secretarial tasks when required.
- Provide orientation and support overview to new attorneys and reinforce protocols continuously.
Position-Specific Skills, Education, and Requirements:
- Proven ability to lead a team and consistently demonstrate fairness and impartiality. Solid service orientation and collaborative approach toward administrative support.
Experience:
- 5+ years of legal secretarial experience in a law firm or professional services environment, performing complex administrative tasks and projects.
- Previous coordinator, leadership, or supervisory experience of a secretarial team in a law firm or professional services environment. The firm will consider qualified applicants with criminal histories for employment in a manner consistent with local law requirements.
Compensation & Benefits:
The annual compensation range for this position is $90,000 – $100,000. The salary offered within this range will depend upon qualifications and other operational considerations.
